Smart-Store, a full-service scanning provider based in Osterholz-Scharmbeck (Germany), was founded in 1997 by Frank Czerwinski, the current managing director, as a one-man operation. Over the years, the company has grown steadily and developed into one of the leading providers of file digitisation in Germany. 65 employees at the Osterholz-Scharmbeck site now digitise over 55 million sheets per year for companies and public administrations from all over Germany, Austria and Switzerland.
In particular, the rapid growth of recent years has presented the company with major challenges in its document processing procedures. Instead of using numerous individual solutions and tools for the respective process steps, a software platform was sought that covers the entire process in one integrated system. ‘The challenge is to significantly increase production and output and to keep personnel and material resources (scanners) at the same level,’ explains Florian Wiederhold, Head of Digitisation at Smart-Store GmbH.

Czerwinski is particularly enthusiastic about the increased productivity: ‘In addition to the early detection of error sources, the throughput times of our orders have also been reduced by up to 40 per cent. What good is it if my scanners can scan 200 sheets per minute, but I spend hours moving files from left to right afterwards? ‘The integration of drawings and large formats in particular was very time-consuming and complicated in the past. These had to be digitised individually using special A0 scanners. ‘We place placeholders where the drawing was in the physical file folder. DocYard automatically inserts the digital copies in exactly the right place. This is a real game changer, the time savings are enormous!’ explains Operations Manager Florian Wiederhold.
